How to Automate Client Weekly Check-ins

Checking in with clients on a regular basis is important. Automate your weekly check-ins to make it easy for you and the client.

Weight, steps, macros, etc. are the numbers that help you capture a client's fitness journey. These numbers provide quantitative insight into how training is progressing, but they don't tell the whole story. It's also important to gather qualitative feedback from your clients.

Weekly check-ins are a great way to get this qualitative feedback from clients, so that you can adjust their training accordingly. Here's how you can automate a client's weekly check-ins:

Set up a weekly check-in form

For creating a weekly check-in form, you can use Google Forms. It’s simple, intuitive and FREE. Other alternative form software include:

To create a new Google Form, just head over to Google Forms, and start with a blank form. Build your form with the questions you'd like your clients to answer. If you're unsure of where to start, you can also use the below Google Form Weekly Check-in Template:

After opening the above link, select the Make a Copy button to copy the Google form to your account.

If you want to edit or add anything, you can simply drag and drop elements from the toolbar to build your custom form. Google Forms allows you to choose what types of questions and answers you want in your form (like multiple choice, long answer, etc).

Add the fields that you want, and once you are done creating your form, click on Send. This won’t send your form anywhere; it will open the Send form pop up.

Go to the middle Link tab on this pop up screen, and click on the Copy button to copy the unique link of the form. (Select the shorten URL option to create a more condensed link)

Scheduling form delivery using auto-messaging

Now, you can automatically send the form to all of your clients by scheduling a message in the Trainerfu app.

To set up auto-messaging:

  1. Navigate to the Groups tab and select Scheduled Messages next to Everyone. (You can also choose to schedule automatic messages to just a particular group.)

  2. Next, add a new scheduled message by clicking on Schedule New Message.

  3. Write a short message to clients explaining how to fill out the form and include the form link that you copied earlier in the message.


  4. Next, schedule the message to be sent out on your chosen day each week (or at whatever frequency you choose).

Once you click on Schedule, the message will be scheduled for everyone and automatically go out at your chosen time.

Now, every week your clients will get this message in their chat. Your clients can simply click on the form link attached in the message, and complete the form. You will get the Google Form results directly to your Google account where you can easily review them and keep tabs on how your clients are doing.
